Using Microsoft Teams for Meetings and Calls

A practical guide to scheduling meetings, joining calls, screen sharing, and managing Teams channels for your team.

Scheduling a Meeting

  1. Open Microsoft Teams and click the Calendar icon.

  2. Click New Meeting in the top right.

  3. Add a title, required attendees, date, and time.

  4. Add an agenda in the description field — this is good practice.

  5. Click Send. Attendees will receive a calendar invitation.

Joining a Meeting

Click Join from your calendar or from the Teams notification. You'll see a pre-join screen where you can toggle your camera and microphone before entering.

Screen Sharing

  1. In a meeting, click the Share content button (rectangle with arrow) in the toolbar.

  2. Choose to share your full screen, a specific window, or a PowerPoint file.

  3. Click Stop presenting when done.

Teams Channels

Channels are organized conversations within a Team. Use channels to keep discussions topic-focused. Post in the appropriate channel instead of sending individual messages to keep communication searchable.

Tips

  • Use Do Not Disturb mode during deep work to suppress notifications.

  • Pin important channels for quick access.

  • Use @mentions to get someone's attention in a channel.
